Appointment Cancellaltion Policy
At Goulburn Valley Hearing Clinic (GVHC), we value the time we dedicate to each client. We strive to provide timely and high-quality care to everybody who needs our services. Missed appointments or late cancellations can prevent other clients from accessing care when they need it most.
Our policy
- Enables GHVC to effectively meet appointment timelines for all clients and patients.
- Ensures that clients are aware that GVHC requires adequate notice, in the event they need to cancel their appointment.
- Safeguard our Audiologists’ time to be used effectively for everyone’s benefit.
1. Appointment Commitment
When you schedule an appointment with our clinic, that time is reserved exclusively for you. We require at least 24 hours’ notice if you need to cancel or reschedule your appointment.
2. Late Cancellations and Failure to Attend
- Late Cancellation: If less than 24 hours’ notice is provided, this will be considered a late cancellation.
- Failure to Attend (FTA): If you do not attend your appointment, it will be recorded as a failure to attend. This will happen if you have not contacted the clinic to cancel or reschedule.
3. Fees and Re-booking
- A $50 non-refundable fee may apply for any late cancellation or FTA.
- Repeated FTAs (two or more) may result in:
- Limited access to appointment times.
- For WorkCover, DVA, industrial clients and insurance-funded clients, missed appointments will be billed to the clients’ employer. In the case where we may not be to claim from the employer, GVHC will bill directly to the client.
- You being required to pre-pay for future appointments, or having limited access to appointment times.
4. Courtesy Reminders
Our clinic provides courtesy reminders by SMS or phone before your appointment. However, it remains the client’s responsibility to attend or provide timely notice of cancellation.
5. Emergencies and Special Circumstances
We understand emergencies can occur. Please contact the clinic as soon as possible if unforeseen circumstances prevent you from attending. Consideration will be given on a case-by-case basis.
